Supplier delivery follow-up

Supplier delivery follow-up for manufacturers

Supplier delivery follow-up means checking, before the date, that every supplier will deliver what you ordered, and acting the day an order is late. SmartWorker tracks each purchase order to its expected date, reminds the supplier on WhatsApp and e-mail for you, and shows goods due and overdue on one screen.

01In detail

Why supplier follow-up slips

In most factories, purchase orders are raised on time but followed up late. The purchase person has twenty open orders and remembers the urgent five. The store finds out a part is missing on the morning production needs it. Then the calls start: “It is dispatched”, “Tomorrow for sure”, “The lorry is on the way”. None of it is written down, so the next person to call starts from zero.

The cost is not only a late order. A machine waits, a shift is wasted, a customer delivery slips — and now you are the late supplier for someone else.

What good follow-up looks like

Good supplier follow-up is boring and regular:

  • Before the date, the supplier gets a polite reminder of the order and the date you expect it.
  • On the day it is late, the order is flagged and the supplier is reminded again.
  • Every call is noted — who called, what the supplier promised, and the date given.
  • The owner sees one list of goods due and goods overdue, without asking anyone.

SmartWorker does exactly this for every purchase order, for every supplier, every day. Reminders go out on WhatsApp and e-mail automatically, so your purchase team spends its time on the orders that really need a call.

Built for Indian manufacturers

SmartWorker is used the way Indian factories already work. Your accounts stay in Tally (SmartWorker reads from Tally and never writes into Tally). Import from Zoho Books. Owners and staff can open SmartWorker in any phone browser; the Android app is for attendance, leave and field visits. Roles and rights decide who sees what, and each company’s data is kept separate.

The same app follows up customer payments too, so one screen shows the money coming in and the material coming in.

02How it works

Three steps.

  1. 1

    Enter the purchase order

Each purchase order is saved with its supplier, items and the date you expect the goods. The order now waits on the list of goods due.

  2. 2

    The supplier is reminded

Automatic WhatsApp and e-mail reminders go to the supplier before the expected date and again when the delivery is late. Nobody has to remember to call.

  3. 3

Late goods show on the overview

The owner's overview shows purchase orders, goods due and goods overdue. Every call, promise and reply from the supplier is kept in the order's history.

Questions

Do I need a separate app for supplier follow-up?

No. Supplier deliveries and purchase orders are followed up in the same SmartWorker app as customer payments. The owner's overview shows both sides — money to receive, money to pay, purchase orders and goods due or overdue.

How are suppliers reminded?

SmartWorker sends automatic WhatsApp and e-mail reminders to the supplier. Your purchase staff can also call, and the call, any promise and the supplier's reply are kept in the history.

What happens when a supplier gives a new date?

Record the call and the promise in the order's history. The whole team sees what the supplier said and when, so nobody argues from memory.

We buy in Tally. Do we enter orders twice?

SmartWorker reads from Tally and never writes into Tally. Import from Zoho Books. So your accountant keeps working as before.

Does it show supplier performance reports?

No. SmartWorker tracks orders, due dates, reminders and history. It does not have a supplier performance report or supplier delay analysis today.
