Purchase order follow-up
Purchase order follow-up software
Purchase order follow-up software keeps every open purchase order on one list with its expected delivery date and reminds the supplier for you. SmartWorker does this for Indian manufacturers, with automatic WhatsApp and e-mail reminders and a clear view of goods due and overdue.

01In detail
The problem with POs in a register
Most factories raise purchase orders well. The trouble starts after the PO is sent. The expected date is written on the order, but nobody looks at it again until the material is needed. By then it is too late to do anything except shout on the phone.
A purchase order register or an Excel sheet does not remind anyone. It does not call the supplier. It does not tell the owner that six orders crossed their date this week. Purchase order follow-up software does.
What SmartWorker does for each purchase order
- One list of open orders. Every PO with its supplier, items and expected delivery date.
- Automatic reminders. WhatsApp and e-mail reminders go to the supplier before the date and when the order is late.
- History you can trust. Every call, promise and reply is kept, so anyone on the team can pick up where the last person stopped.
- The owner’s overview. Purchase orders, goods due and goods overdue sit next to money to receive and money to pay.
- MSME pay-by date. Mark a supplier as MSME (with the Udyam number) and each purchase order from it shows its pay-by date.
The same app for payments
The same SmartWorker app tracks customer invoices to their due dates, sends polite payment reminders, and handles part payments, post-dated cheques, bounced cheques and TDS short payments. Your team learns one app, not two.
How a factory starts
You keep Tally for accounts. SmartWorker reads from Tally and never writes into Tally. Import from Zoho Books. Enter invoices and payments in Tally; SmartWorker follows them up. There is a 14-day free trial, and the price is one-time per company with GST included.
02How it works
Three steps.
- 1
Each PO is tracked
Every purchase order is saved with its supplier, items and expected delivery date. Open orders sit on one list instead of in a register or an Excel sheet.
- 2
Reminders go out by themselves
SmartWorker sends automatic WhatsApp and e-mail reminders to the supplier before the expected date and again when the order is late.
- 3
The owner sees what is pending
The owner's overview shows purchase orders, goods due and goods overdue, next to money to pay. Calls, promises and replies are kept in each order's history.
Questions
What is purchase order follow-up?
It is the work of making sure each supplier delivers what you ordered, on the date you need it. In practice it means reminding suppliers before the date, chasing late orders, and writing down what each supplier promised.
Can my purchase staff use it on the phone?
Owners and staff can open SmartWorker in any phone browser. The Android app is for attendance, leave and field visits. There is no iPhone app; iPhone users use the browser.
Does it work with Tally?
Yes. SmartWorker reads from Tally and never writes into Tally. Import from Zoho Books. Your accountant keeps entering in Tally as before.
Who can see purchase orders?
You decide. Roles and rights are set per area, so a store person, a purchase person and the owner each see what they need. Each company's data is kept separate.
What does it cost?
SmartWorker has a one-time price per company, GST included — Small Rs 2,50,000, Medium Rs 3,50,000 and Large Rs 5,00,000 — with a 14-day free trial.
